Create your account

Sign up with your email address to start your 14-day free trial. No credit card required. You'll receive a confirmation email — click the link to activate.
  • Enter your name and email
  • Choose a secure password
  • Confirm your email address
  • Select your plan (you can change this anytime during the trial)

Set up your business
Complete
Go to Settings → Organisation and fill in your business details. These appear on customer receipts and compliance reports.
  • Business name, address, and phone number
  • VAT registration number (if applicable)
  • Receipt footer text (e.g. "Thank you for visiting!")
  • Your business logo (appears on receipts and reports)

Build your product catalogue
You are here
Add your menu items with prices and categories. Products appear as tappable buttons on the order screen — so good organisation here makes your staff's job easier.
  • Go to Products → Catalogue → Add Product
  • Create categories first (e.g. Hot Drinks, Food, Cakes)
  • Add each item with name, price, and category
  • Set up modifiers for items with options (e.g. milk type, size)

Tip: Got more than 20 products? Use our Excel import template to upload your whole menu in one go — download the template, fill it in, and upload under Products → Import.

Add your staff
Up next
Create accounts for everyone who'll use ZayPOS. Each person gets their own 4-digit PIN for fast, secure login at the till.
  • Go to Staff → Accounts → Add Staff
  • Set each person's name, role (Staff / Manager / Admin), and PIN
  • Staff role: can take orders only
  • Manager role: can view reports and manage stock
  • Admin role: full access to all settings

Connect your payment terminal
Almost there
Link your card payment terminal so ZayPOS can send charges directly to it. ZayPOS supports Clover, SumUp, Dojo, and Square.
  • Go to Settings → Payments
  • Select your payment provider and enter your API credentials
  • Run a test transaction to confirm the connection
  • Configure cash drawer settings if applicable

Don't have a card terminal yet? You can still use ZayPOS with cash-only mode. Add your terminal later under Settings → Payments.

Take your first order 🎉
Final step
You're ready. Open ZayPOS on your tablet or phone, log in with your staff PIN, select your order type, and start taking orders.
  • Open app.zaypos.co.uk on your device
  • Enter your 4-digit staff PIN
  • Select order type: Dine-in, Takeaway, or Delivery
  • Tap products to add them to the cart
  • Hit Charge and process the payment

Getting started FAQ

How long does setup take?
Most businesses complete the core setup (products, staff, payments) in 30–60 minutes. If you have a large menu, use our Excel bulk import to speed things up significantly.
Can I change my plan during the trial?
Yes, you can switch between Starter, Pro, and Complete at any point during your 14-day trial. Everything is fully accessible on all plans during the trial period.
Do I need to buy any hardware?
No. ZayPOS works on any tablet, phone, or desktop you already own. A receipt printer is optional — we support network ESC/POS printers if you need one.
What if I need help during setup?
Every trial user gets access to our onboarding team. You can book a free 30-minute call, email us at [email protected], or chat with us during business hours.
Can I import my existing product list?
Yes. Download our Excel template, fill in your products with names, prices, and categories, then upload it under Products → Import. Your whole catalogue will be added instantly.
How do my staff log in?
Staff use a personal 4-digit PIN to log into ZayPOS — fast, secure, and no passwords to remember. You set the PINs for each staff member from the Staff → Accounts area.
