Toast vs ZayPOS for UK cafés & restaurants — honest 2026 comparison

Toast is the dominant restaurant POS in the United States. It launched in the UK in 2022, and the core product works well — but it was built for US restaurants, and several gaps show up the moment you try to run UK payroll, comply with Natasha's Law or pass a Food Hygiene Rating inspection.

TL;DR

Toast is excellent for sit-down restaurants with a full kitchen brigade, table service and a culture of US-style tipping. Its kitchen display and online ordering modules are genuinely best-in-class.

But: Toast Payroll is US-only — UK businesses have to bolt on a separate UK payroll provider. Toast doesn't ship a Natasha's Law allergen matrix, doesn't have an EHO/SFBB compliance pack, and pushes you toward Toast-branded hardware that isn't required by ZayPOS.

ZayPOS Growth covers the same ground for £69/till/month with unlimited staff — about £166/month less than the equivalent Toast stack — and adds the UK compliance and AI features Toast doesn't have.

Pricing — head to head

Toast doesn't publish a transparent UK price list. The number you pay depends on which modules you bundle, which payment processor you sign up for, and how hard you negotiate. Public Toast UK pricing pages list Core POS from around £69/mo per terminal, but Core POS alone isn't usable for a real restaurant — you need at minimum the kitchen display, online ordering and reporting modules on top. By the time you've added the equivalent of ZayPOS Growth's feature set, most independent UK operators we've talked to are paying somewhere around £200–£275/month per location.

ZayPOS Growth is £69/till/month flat — unlimited staff included. The Complete tier (£99/till/month) adds Natasha's Law, EHO compliance pack and AI invoice processing. There are no per-staff fees, no per-module add-ons, no add-on for online ordering. The card processor is your choice, not ZayPOS's.

The often-missed cost on Toast: Toast Payments. Because Toast Payroll is US-only, you'll typically be steered toward Toast Payments (their in-house card processor) to keep the payroll-to-payments reporting clean — except the UK payroll piece doesn't actually exist. Toast Payments rates in the UK are typically 1.45%–1.99% per card-present transaction, which on a £15,000/month card-volume café is £218–£298 in fees alone. With ZayPOS you pick the cheapest UK processor (SumUp from 0.99%, Dojo negotiable below 1%) and route through them directly.

The Toast Payroll gap — the single biggest UK problem

This is the issue we hear about most often from indie UK operators on Toast: Toast Payroll is unavailable in the UK. It's a US-only product, tied to US tax filing (W-2, 1099, ACA reporting) that doesn't apply here.

That means if you're a UK café or restaurant on Toast, your weekly workflow looks like this:

  1. Schedule staff in Toast Sling (paid add-on, ~£3–5/user/month).
  2. Export hours worked to CSV.
  3. Import that CSV into a separate UK payroll provider (Xero Payroll, BrightPay, Sage 50 Payroll — typically £15–40/month plus per-employee fees).
  4. Run payroll in the second system.
  5. Reconcile tips manually — Toast doesn't know what your UK payroll system did.

ZayPOS Growth ships UK payroll as a first-class feature. Rotas auto-generate from sales forecasts, staff hours flow into payroll automatically, tips reconcile, HMRC RTI submissions go out on payday. One tool, one workflow, no CSV juggling.

"Toast IQ tells you what to do. ZayPOS does it."

Toast has a feature called Toast IQ — AI-powered analytics that flag patterns in your sales and suggest actions ("your soup of the day attaches well with the chicken sandwich; consider a meal deal").

That's useful. It's also a long way from doing the work. You still have to build the meal deal in the menu editor, write the description, set the price, push it to the till and to online ordering.

ZayPOS's AI features take the next step:

The principle: Toast IQ surfaces insights. ZayPOS automates the action that follows.

UK-specific compliance — where the gap shows up

Natasha's Law (UK food info amendment, 2021)

Any UK food business selling prepacked-for-direct-sale (PPDS) items — sandwiches, cakes, salad boxes prepared on site — must label each item with a full ingredients list and clearly emphasise the 14 UK allergens. Fines under the Food Information Regulations 2014 can be unlimited per offence.

Toast has no native Natasha's Law allergen matrix or PPDS label printer. UK Toast users typically pay for a separate tool (Navitas Safe Food Pro, Trail, or Erudus — £25–60/month) to fill the gap. ZayPOS Complete includes the allergen matrix, AI-assisted detection, and a printable label format as standard.

EHO inspections + SFBB

UK Environmental Health Officers will ask for temperature logs, daily cleaning checklists, allergen records, supplier records and corrective-action logs as part of a Food Hygiene Rating Scheme inspection. The Safer Food, Better Business (SFBB) pack from the Food Standards Agency outlines the minimum.

Toast doesn't track any of this in-app. ZayPOS Complete has temperature logging, daily checklists, delivery records, and a one-click Food Inspector Pack that consolidates everything into a printable report.

UK VAT

Hot food at 20%, cold takeaway at 0%, mixed orders apportioned. Toast's reporting is geared toward US sales tax; getting clean VAT summaries out is a manual reconciliation. ZayPOS Complete includes weekly and monthly VAT summaries (gross-to-net, with input VAT tracked from supplier invoices) ready for your accountant.

Hardware — Toast pushes its own, ZayPOS doesn't care

Toast strongly encourages its own hardware: Toast Flex terminals, Toast Tap card readers, Toast Hub. The hardware is well-built; it's also a meaningful capex up front (typically £600–£1,500 per terminal in the UK), and it locks you into Toast's payment processor.

ZayPOS is hardware-agnostic. Any iPad, Android tablet or computer with a modern browser runs the POS. Card processing routes through whichever processor you choose — Clover, Dojo, SumUp, Square, or bank transfer. If you've already got iPads behind the counter today, ZayPOS works on them this afternoon.

Where Toast genuinely wins

We've been straight about ZayPOS's edges. Here's where Toast is the better pick:

Where ZayPOS is the right choice over Toast

How to switch from Toast in 24 hours

  1. Export your Toast menu. In Toast Web → Menus → Export. Choose CSV.
  2. Email it to hello@zaypos.co.uk. Mention you're switching from Toast. Send a screenshot of your current price plan if you have it (helps us match modifiers).
  3. We import overnight. Menu items, modifiers, prices, descriptions, allergen flags — all migrated. Preview ready next morning.
  4. You confirm. Usually 15–30 minutes of review.
  5. Pick your UK card processor. Keep Toast Payments if you really want, or move to SumUp / Dojo / Clover for typically 30–50% lower fees. Smart routing handles it.
  6. Go live. Same iPad or Toast Flex terminal (via browser), same staff workflow — just with UK payroll and Natasha's Law built in.

We rebuild your menu for you — up to 200 items included on every plan, larger menus quoted at £149. You approve the rebuilt menu before going live. No commitment. You can run both systems in parallel for a week if you want a soft transition.

The switching risk — reversed

Switching POS feels risky. We've taken it off the table:

60-day save-5-hours guarantee

Try ZayPOS for 60 days from your first paid charge. If you don't save at least 5 hours a week on rotas, supplier-invoice keying, EHO logbooks and Natasha's Law allergen updates — combined — we refund every penny. No interrogation, no retention call.

Combined with the 14-day free trial (no card needed) and the done-for-you Toast menu rebuild (up to 200 items included), the worst case is: you keep Toast, you're out zero pounds, and you've spent 20 minutes finding out ZayPOS isn't for you. That's the risk.

Frequently asked questions

Is Toast available in the UK?

Yes, Toast launched in the UK in 2022. The core POS, kitchen display and online ordering modules work fine. The notable gap is Toast Payroll — US-only, unavailable to UK businesses.

How much does Toast cost in the UK?

Toast doesn't publish UK pricing transparently. Public-facing pages quote Core POS from ~£69/mo per terminal, but a usable real-restaurant stack (with KDS, online ordering, reporting, payments) typically lands at £200–£275/month per location, before card-processing fees and before any UK payroll or compliance bolt-ons.

Can I use my Toast Flex terminal with ZayPOS?

Yes, in browser mode. ZayPOS runs in any modern browser, and Toast Flex terminals have one. You wouldn't get the deep hardware integration Toast offers, but the POS, payments and KDS will all work.

Does ZayPOS have a kitchen display system?

Yes — ZayPOS KDS is included on Growth and Complete. It's not as feature-rich as Toast KDS yet (we don't have prep-time prediction or course pacing), but for most independent cafés and restaurants it covers the workflow.

What about online ordering?

ZayPOS Growth includes QR-code table ordering with customer allergen flagging. We don't yet have a delivery-aggregator integration (Deliveroo / Uber Eats / Just Eat as native sources) the way Toast does — that's on the roadmap.

What about Toast IQ — the AI features?

Toast IQ is genuinely good at surfacing insights and trends. ZayPOS's AI focuses on doing the next step rather than suggesting it — building the meal deal, keying the supplier invoice, generating the rota. They're complementary; ZayPOS just leans further into automation.

14-day free trial. No card needed.
